Everyone's A Winner With These Great Tools!

Google Spaces is right there in Gmail and I wonder how many of you have explored it, ignored it or maybe you actively use it? Google Spaces gives you a place to share files, tasks and chat with the other people that are part of that Space.

Spaces integrates with chat, calendar, Drive and documents to provide a more hybrid work experience where you can see the full history, content and context of conversations, no matter where you are located. 

Spaces are great for collaboration both in real time and asynchronously. Instead of starting a group email conversation or scheduling a meeting, you could use Spaces to communicate and share documents. This will keep conversations out of your inbox and  your projects moving along. Fewer emails and saving time is always a winner, right?

Our ELT team uses Slack which is similar to Spaces and our experience has been fewer back and forth emails to manage and fewer meetings within the team because most of our communication stays in the tool. Using a collaborative tool like Spaces or Slack, makes it easier to catch up on conversations and project updates after being interrupted or away from work for a few days. Both of these tools are Champions to me! 🥇

You might consider using Spaces if you've tried Slack or another tool and it didn’t work well for the group. Since Spaces is integrated with Google Workspace, it might be just the thing that works for you. Use Spaces, if you want to:
  • Keep group conversation threads in one place
  • Organize groups around shared files, tasks and scheduling
  • Keep dedicated spaces for different conversations
Google spaces can be accessed through Gmail and also through Google Chat

Before you create a Google Space, you have to decide on a couple of things that cannot be changed after the space has been created:
  • Allow people outside UMN to join: if you do want to include external people, they'll need a Google account (personal or with another org)
  • Threaded or unthreaded conversation: The default is unthreaded - a single stream of unthreaded messages. I think threaded conversations are more useful in a space like this. 

Create a Space from Chat or Gmail

  1. Find Spaces in your left navigation menu and click + to create a new space
  2. Name your Space
  3. Invite using names or email addresses
  4. Decide on conversation threading and allowing external people (this cannot be changed later)

Read all the details about how to use and manage Google Spaces. Also, between now and April 2022, expect to see changes to Gmail with a new navigation menu on the left that will make it easier to move between Email, Chat, Spaces and Meet. I'm looking forward to the update and anticipate future enhancements to Spaces.
